How to find a time that works for everyone

A simple way to pick a meeting or dinner time for a group without a long chat thread, plus what to do when nobody's free at the same time.

How-to

The quickest way to find a time that works for everyone is to stop asking people one by one. Put the possible days on one grid, ask everyone to mark every time they’re free, and pick the spot where the most people overlap.

Why the group chat version takes so long

When you ask “when is everyone free?” in a chat, each answer is shaped differently. One person lists three evenings, another says “weekends mostly”, someone else replies two days later. You end up holding a timetable in your head and checking each new message against it.

The fix is to give everyone the same format to answer in, and let something else do the comparing.

Step by step

  1. Decide the window. Pick the days that could realistically work and the hours you’d consider, like weekday evenings or Saturday daytime. Fewer options make it quicker for people to answer.
  2. Know how long you need. A one-hour call needs a one-hour gap; a dinner might need three. This matters when comparing answers, because a 30-minute overlap is no use for a two-hour dinner.
  3. Ask everyone to mark every time they’re free, not just their favourite. The more they mark, the better your chances of an overlap.
  4. Let people say “if needed”. Some times aren’t ideal but would work. Treat those as half a yes, so they only win when nothing better exists.
  5. Pick the time with the most overlap, then tell everyone and send a calendar invite so it doesn’t get forgotten.

With Overlappy that whole list is three taps for you: pick the days, send the links, choose from the best times once everyone has answered.

When nobody’s free at the same time

It happens, especially with bigger groups. A few things that help:

Situation What to try
One person can’t make any time Ask if they’re essential. If not, go with the best time for everyone else.
Overlaps exist but are short Shorten the meeting, or split it into two sessions.
Lots of “if needed”, few clear yeses Pick the time with the most clear yeses and the fewest if-neededs.
Nothing overlaps at all Add more days or widen the hours, then ask again.

Make it easy to answer

People answer faster when it takes under a minute and doesn’t need an account. Send the link where the group already talks, mention a rough deadline (“by Thursday would be great”), and only chase the people who haven’t answered yet.

Questions

What's the quickest way to find a time for a group?

Ask everyone to mark all the times they're free on one shared grid, then pick the time where the most people overlap. It's faster than collecting answers one message at a time.

What if there's no time that works for everyone?

Pick the time that suits the most people, and check whether the people who can't make it are essential. If they are, ask them for one or two times that could work at a push and try again.
